Create an IPS from Product Catalogue

As each IPS consists of a set of similar products, you can create an IPS by combining already existing products in the Product Catalogue, or by creating custom products first, in case none of the ones you need are available in the Product Catalogue. Since we have already covered the nonexistent product creation in the section “Creating a custom/not existing subcategory or a product”, let’s assume we are going to create an IPS with the usage of already existing on the platform products.  

  • Go to “Product Catalogue”
  • Select the desired main category from the menu, as well as the respective subcategories. You can also type in the category name in the search field.
  • Once you find the final category, press “Select” to view all available products in it. Note that the amount of the products in the category will be indicated next to the category’s name.
  • When all available products from the search are listed out, you can further narrow them down by selecting among the attributes on the left side of the product cards. 
  • By selecting specific preferred attributes, the remaining number of the resulting product cards might decrease. The names of the selected attributes will be displayed above the product cards. 
  • To activate the “Create Fixed IPS” button, you need to click inside the small boxes, located on the top right corner of each product card you aim to add within the IPS.  
  • When you are finished selecting the specific items, you will be able to create only fixed IPS, consisting of the chosen items. 
  • As there are two types of IPS`s you are able to create, in order to create Flexible IPS, after choosing a category, you have to choose several attributes that are important for your company, from the filter list. Then, without clicking inside the small boxes on the upper right corner of the product cards, press the “Create Flexible IPS”, which will already be active. It will include all products that meet the criteria, and in the future this list will be updated depending on the new products in the catalog.
  • In the following step, you will have the option to create the IPS variants. Variants are the actual buying information that is used afterwards in auctions and in nomenclature requests for quotes. The variant gives indications of the minimum quantity the buyer is willing to buy, also including details for unit of measurement, expiry and delivery period in days, incoterms, annual volume, fractions. The annual volume indicates the approximate total annual cost for the company, generated by the specific IPS variant, which is part of determining the tier level of the buyer on Auxionize. You can also specify an exact delivery address and the payments terms that are set in advance in Settings -> Payment terms and Settings -> Delivery addresses (for more information please refer to Company Management). You can alter the IPS visibility into Public or Private access. This means that when Public, the IPS variant can be seen by Sellers in your nomenclature and offers can be given for the requested quantity. When Private, the IPS variant is not visible in your nomenclature and not open for offers. In addition the offering type for Public variants could be “Pubic”,”Semi Public” or “Private”. Public – all Sellers see the competitor prices and names in your nomenclature for this IPS variant; Semi Public – Sellers see only the prices but not the names of the competitor; Private – only invited Sellers can offer for this IPS variant. Note that you also have an option to hide the IPS from the IPS Catalogue by clicking inside the small box. Also, at any time you can hide an IPS from the IPS Library, by opening that IPS and activating the “Hide from IPS Library” button. When finished entering the information, press “Save as Draft” or “Save”. “Save as Draft” is an option that is useful when you don’t have time or the correct information to fill in and this Draft can be finalized later.    
  • The newly created IPS will then appear in “My IPS Nomenclature”.
